The Body Lab Concierge: Terms & Policies
Booking and Cancellation Policies
- Booking Window: Sessions may be booked up to 4 weeks in advance. Last-minute bookings are accepted with a minimum notice of 4 hours.
- Session Duration & Start Times: Please arrive on time. Sessions will end as scheduled, regardless of late arrival. A 5-minute grace period is allowed, after which the session may be shortened.
- 24-Hour Cancellation Policy: Cancellations must be made at least 24 hours before the session to avoid a fee.
- Late Cancellation Fee**: Cancellations or rescheduling within 6 hours of the appointment will incur a full session charge.
- **No-Show Policy: Failure to attend a scheduled session without notice will result in a full session charge.
First-Time Clients
- Introductory Sessions: Please allow 1 hour for your first session to accommodate consultation and preparation.
Sick Cancellation Policy
- Notice: If unwell, please notify us as soon as possible. Cancellations due to illness within 24 hours will not incur a fee if notice is given.
- Same-Day Sick Cancellations: Contact us immediately for rescheduling without a fee.
- Health Priority: Do not attend sessions if experiencing symptoms of illness. A doctor's note may be required for a refund on sick cancellations.
Payment Policy
- Payment Timing: Payment is required at the time of booking. Packages must be paid in full at the time of purchase. We accept all major credit cards, Venmo, PayPal, and Zelle.
- Non-Refundable: Purchased sessions are non-refundable and non-transferable.
- Package Expiry: All sessions must be used within 3 months of purchase, after which they will expire.
- Outstanding Invoices: Members cannot train with an outstanding balance and must settle any owed amounts before resuming training.
Membership & Subscription
- Subscription Benefits: Members receive one 20-minute EMS session per month at a discounted rate of $135.
- Auto-Renew: Sessions automatically renew monthly on the same date of purchase. No contract is required, but a valid credit card must be on file.
- Holds/Extensions: Accounts can be put on hold for vacations, business trips, etc. Notify us in advance for any changes.
Guest & Transfer Policy
- Non-Transferable: All sessions and packages are personal and cannot be transferred or shared. Guests may attend sessions only with an approved guest pass.
- Third-Party Trainers: No third-party trainers are allowed in our facilities.
Waitlist & Priority
- Waitlist: If your desired time slot is booked, join our waitlist. We will notify you if a spot opens up.
- Priority Booking: Clients with 3-month memberships receive priority when booking sessions.
Health & Safety
- Health Declaration: All clients must complete a health declaration form before their first session and update it if their health status changes.
- Unwell Clients: Please reschedule your session if you are unwell to protect your health and the health of our staff.
Studio Etiquette
- Punctuality: Be ready to start at your scheduled time. Appointments will be canceled without a refund if you are not ready within 20 minutes of the scheduled start time.
- Personal Belongings: You are responsible for your belongings. The Body Lab Concierge is not liable for lost or stolen items.
Compliments & Complaints
- Feedback: We welcome your feedback. Please email any compliments or complaints regarding our services.
General Policies
- Changes & Cancellations by The Studio: We reserve the right to change or cancel sessions, with reasonable notice, and will credit affected sessions.
- Service Refusal: We reserve the right to refuse service and cancel memberships at our discretion.
- Business Hours: The Body Lab Concierge may change its business hours at its discretion.
